A Seller wants to donate a product to my store — What do I do?

This article walks you through how to manage a product when a seller chooses to donate it to you

Sometimes a seller decides they no longer wish to sell a product and would rather donate it to you instead. This might happen if the sales timeframe has expired, the item has been sitting in-store for a while, or it’s simply no longer something you want to continue selling. In these cases, you may want to donate the item to charity or resell it under your ownership.

Here’s how to properly handle this workflow inside Ribbn.


Step 1: Confirm with the Seller

Before making any changes, reach out to the seller directly in the chat to confirm they approve the donation.
During this period, set the product’s status to: Liquidation Ready

This shows the item is awaiting seller confirmation.

Step 2: Update the Status to “Seller Donated”

Once the seller confirms they want to donate the item to you:

  1. Change the item status to Seller Donated.

Why this matters:
This creates a clear audit trail showing that the seller approved the donation. If you ever need to review the product’s history, you’ll know that ownership changed.


Step 3: Duplicate the Item

Next, you’ll create a copy of the product with ownership changed to you.

  1. Locate the product that's in Seller Donated status. 

  2. Mark the item. In the bottom Action Bar, go to Data & Tools.

  3. Click Duplicate Items.

This generates a new product listing where you set you as the seller of record.

Step 4: Prepare the New Item for Publication

Once the duplicate is created:

  1. Update the product status to something like Pending Publication.

    • This helps you keep track that it’s an item you’ll be listing soon.

  2. At the top of your Product List, locate the newly duplicated item and select it.

  3. In the Action Bar, go to Sales & Pricing > Edit Commission.

  4. Set the commission to 1.

What this means:
A commission value of 1 gives you 100% of the sale since the seller has donated the item to you.


Step 5: Move the Item to “Listed”

Once you’ve reviewed the product details and ensured everything is correct:

  1. Change the status to Listed so it goes live in your store.

You’ve now correctly handled a seller-donated product, preserved the audit trail, and ensured commission and ownership are consistent with best practices.
