How Product mapping works with Shopify

Ribbn integrates with Shopify to sync and manage your resale inventory. Learn how connect your app and to map products from Ribbn to your Shopify webshop.

Ribbn acts as your primary inventory and product management system. This is where you digitize your one-of-a-kind items, map sellers to products, and set commissions. Whether you’re uploading items you own or listing on behalf of individual sellers, Ribbn helps you move faster with tools like AI QuickList for instant attribution and pricing and digitize your consignment process.

The Ribbn app inside Shopify simply syncs products from Ribbn to your Shopify store so you can publish them online. All product setup, edits, and management should be done in Ribbn first. Once you update a product in Ribbn, you’ll be prompted to sync those changes to Shopify.


Getting Started with the Ribbn + Shopify Integration

  1. Open Shopify and Ribbn in separate tabs in the same Chrome browser.

  2. Download the Ribbn app in Shopify App Store

  3. In the Ribbn App in Shopify - click Connect to Ribbn

    • Log in to your Ribbn account.

    • This connects your Ribbn and Shopify accounts.

  4. You’re now ready to begin mapping products from Ribbn to Shopify.


Creating Multi-Variant Products

If you’re selling items with different sizes, colors, or other variants, follow these steps:

  1. In Ribbn, go to the product you want to edit.

  2. Navigate to:
    Stock Management > Product Class > Multi Variant

  3. Build your variant options—for example:

    • Add sizes: 38, 39, 40

  4. Return to the table view.
    Select the item(s) > click the Action bar > click Shopify > Publish items on shopify.

  5. To check sync status, go to the Ribbn app in Shopify > Product status log to see if the sync was successful or if any items failed.


Final Steps After Syncing

  1. If the product has successfully synced, it will appear as a Draft in Shopify.

    • To make it visible in your webshop, change the product status to Active in Shopify.

  2. If an error occurs, you’ll see “Failed” in the Product log. Click the dropdown next to the failed entry to view the error message, including which item (URL handle) failed and the reason why—use this to troubleshoot.

Important Note on Product Status Mapping

If you need to change the status of a product in Ribbn—for example, marking it as Back to Quality Control because something was off—make sure to also update its status in Shopify.

Ribbn’s internal status changes won’t automatically deactivate the product in your Shopify store. This means the product could still be visible and available for purchase unless you:

  • Set it as Draft in Shopify, or

  • Manually remove it from Shopify.

Always double-check that product availability in Shopify reflects the correct status from Ribbn to avoid unintentional sales.

A Few Key Notes

  • All product edits must be made in Ribbn. Changes made directly in Shopify won’t sync back.

  • If you remove a product from Shopify, it will still remain in Ribbn.

  • You can never delete a product from Ribbn using Shopify.

    • If it has variants, the quantity for that variant will decrease.

    • If it’s a one-of-a-kind item, the product will automatically revert to Draft in Shopify.
