Inventory Hacks with Ribbn: How to Easily Perform a Stock Take
Keeping track of inventory is essential and Ribbn makes stock takes simple. Follow these steps to identify missing items efficiently.
Step 1: Tag All Items in Stock
Go through your entire inventory—on the shop floor and in the stockroom—and tag each item. Use a collection tag or a custom tag like "stocktakeXXDATE" to mark everything currently in stock. Use a unique tag so that you know that everything you go through on the specific day gets this tag.
Step 2: Apply a Bulk Investigation Tag
Once every item is tagged, go to your Admin Dashboard and filter your inventory to show all items that should physically be in your store. This could include Statuses such (depending on how you structure your workflow in Ribbn):
- Listed
- In Quality Control
- Clearance
- Liquidation Ready
- Liquidation Requested
Next, apply a new tag to these items:
- Select all filtered items
- Click Actions > Add Tag
- Add a tag like "Investigate-feb-25"
Step 3: Identify Missing Items
Now, clear your filters and set a new filter for StocktakeXXDATE (the tag applied in Step 1). Remove the "Investigate-feb-25" tag from all these items by:
- Selecting all filtered items
- Clicking Actions > Remove Tag
- Removing "Investigate-feb-25"
The result?
Any remaining items still tagged "Investigate-feb-25" are the ones that are missing from your inventory.
By following this process, you’ll quickly spot discrepancies and take action to keep your inventory accurate.
